From inbox chaos to instant intake.
A three-week engagement that turned a recruiting team's Gmail inbox into a fully automated resume pipeline — Gmail catches the email, ChatGPT parses the resume, PCRecruiter stores the record.
The problem
The team was using Gmail as a de-facto ATS for hundreds of resumes a day — each one costing five to ten minutes of manual data entry into PCRecruiter. Records drifted and diverged across recruiters, data got dirty, and by the time outreach went out candidates were already days cold.
The solution
We shipped a zero-code Gmail → OpenAI → PCRecruiter pipeline in three weeks. Zapier triggers on the inbox, OpenAI parses resumes into structured JSON with 95%+ accuracy, and REST writes land idempotently in PCRecruiter. Validation, Slack alerts, and safe re-runs are baked in so the team can trust the records without babysitting the automation.
The result
Resume intake runs hands-off at 500+ per week with 99% data accuracy, a 90% reduction in time per resume, and outreach going out in under a day instead of several. The recruiting team went from drowning in an inbox to working a clean, standardized pipeline — with no change to how they already used Gmail.
Took on the assignment with confidence and executed beyond expectations. Will absolutely be doing business again.
